What is payroll outsourcing?

Payroll outsourcing is an arrangement in which a specialist firm processes a company's payroll and statutory payroll filings while employees stay on the company's own rolls. Novelworx, a payroll and HR services firm headquartered in Bengaluru, runs full-cycle payroll and PF, ESIC, PT and TDS compliance for companies across India through a central HRIS.

Who it's for

When payroll can't be a side job.

  1. Growing companies

Headcount is rising, states are multiplying and one person can no longer keep up.

  2. Companies in several states

Professional Tax and other state rules differ. One calendar keeps them straight.

  3. Finance teams stretched thin

Accurate payroll without building an in-house payroll team.

  4. Companies with a messy history

Late or missed filings in the past, now needing a clean, reliable process.

Full-cycle payroll

One system. Every salary, every month.

Everything runs through one centralised HRIS, so attendance, pay and statutory data always agree.

  • Salary processing
  • Payslips
  • Bank transfers
  • Central HRIS
  • Monthly reports
  1. Salary processing

Gross to net for every employee, with arrears, bonuses and deductions applied correctly.

  2. Payslips

Clear payslips that show every earning and deduction.

  3. Statutory deductions

PF, ESIC, PT and TDS calculated on the right wage base.

  4. Bank transfers

Salary files prepared for your bank on the agreed pay date.

  5. Employee records

Joiners, leavers, pay changes and documents in one place.

  6. Leave and attendance

Tracked in the HRIS and reconciled before payroll runs.

Statutory compliance

Four obligations, filed every cycle.

Every deposit and return sits on a compliance calendar we manage ahead of each deadline. Rates and due dates are applied as notified by each authority.

  • PF
  • ESIC
  • Professional Tax
  • TDS on salaries
  • Labour licences
  • Compliance calendar
  1. Provident Fund (PF)

Employee and employer contributions deducted, deposited and returned to the EPFO for covered employees.

  2. Employees' State Insurance (ESIC)

Contributions for eligible employees, with registrations kept current as people join and leave.

  3. Professional Tax (PT)

Deducted and remitted in the states that levy it, under each state's own registration and schedule.

  4. TDS on salaries

Income tax deducted from salaries, deposited on time and reported in periodic statements.

The monthly cycle

What happens every pay cycle.

  1. Inputs

Attendance, leave, joiners, leavers and pay changes collected by the cut-off.

  2. Processing

Payroll calculated and checked against last month.

  3. Approval

You review a summary and approve before anything is paid.

  4. Pay

Salary files go to the bank and payslips go to employees.

  5. Deposit and file

PF, ESIC, PT and TDS deposited and returns filed, as each falls due.

  6. Report

A monthly report and records you can hand to an auditor.

How it compares

In-house, software alone or outsourced?

  1. In-house payroll team

    • Full control, full cost
    • Knowledge sits with one or two people
    • Every rule change is yours to track
  2. Payroll software alone

    • Calculates pay well
    • Someone still owns inputs, checks and filings
    • Does not answer for a missed deadline
  3. Novelworx payroll outsourcing

    • Your employees stay on your rolls
    • We run the cycle and the filings
    • One team answers for the result
  4. Novelworx payrolling

    • People move to our rolls
    • We also carry employer obligations
    • Best when you'd rather not be the employer

Outsourcing to a specialist typically saves 20–40% against in-house teams or several vendors.

Questions, answered

What payroll services does Novelworx provide?

Novelworx runs full-cycle payroll for companies across India: salary processing, payslips, statutory deductions, bank transfers, employee records, and leave and attendance tracking, all through a centralised HRIS. It also deposits and files PF, ESIC, Professional Tax and TDS on salaries on a compliance calendar it manages ahead of every deadline.

Which statutory deductions apply to payroll in India?

Most Indian payrolls deal with four obligations: Provident Fund for retirement savings, Employees' State Insurance for health and social security, Professional Tax in the states that levy it, and TDS on salaries. Each has its own eligibility rules, wage base and deadlines as notified. Novelworx manages all four for its clients.

What is PF and which employers must register?

Provident Fund is India's mandatory retirement savings scheme, run by the Employees' Provident Fund Organisation. Employers covered by the law must register, deduct the employee share, add the employer share, deposit both and file returns. Coverage depends on thresholds set in law, so Novelworx checks the current notified position for each client.

What is ESIC and who is covered?

ESIC, or Employees' State Insurance, provides medical care and cash benefits for sickness, maternity and workplace injury. It covers employees earning up to a notified wage ceiling in covered establishments. Employers and employees both contribute. Novelworx registers eligible employees, deposits contributions and files returns, and tracks people moving in or out of eligibility.

What is Professional Tax?

Professional Tax is a tax on employment levied by individual states, and not every state levies it. Where it applies, the employer deducts it from salaries using the state's slabs and remits it on the state's schedule, usually under its own registration. Novelworx manages Professional Tax registrations and filings in each state where clients employ people.

What is a statutory compliance calendar?

A statutory compliance calendar is a schedule of every deposit, return and renewal an employer owes, with the due date, the owner and the status for each. Novelworx keeps one for every client, covering PF, ESIC, Professional Tax and TDS in every state the client operates, and works ahead of each deadline.

Can Novelworx take over payroll part-way through the year?

Yes. At onboarding, Novelworx assigns a dedicated account manager, migrates existing employee, salary and year-to-date tax data into its HRIS, and briefs the client's team. Year-to-date figures matter most for TDS, so Novelworx reconciles them before the first payroll run. The client approves the first cycle before anything is paid.

Is it cheaper to outsource payroll than to run it in-house?

Usually, yes. Companies that outsource payroll and compliance to Novelworx typically save 20–40% compared with in-house teams or several vendors. The saving comes from not building a payroll team and from avoiding the interest and penalties that late or wrong filings attract. Clients Novelworx manages have recorded zero statutory penalties.
